Senior Administrative Assistant

The Senior Administrative Assistant provides administrative supports for Employment and Day Prograns and directly supports the work of the Director of Employment and Day program. The team member must have experience in web based data platforms as well as tracking data and metrics. This position also requires excellent skills in collaboration, communication, time management and tracking data and metrics. This is a dynamic position that requires a team member who can function well across work settings and teams..

  • Prepare invitations and participate in Departmental Team meetings and taking and distributing minutes and ensuring completion of follow-up tasks.

  • Scheduling- programs, events, meetings or conferences by arranging facilities, caterers, invitations and information, etc. via Outlook and/or direct mail internally or externally

  • Maintaining/scheduling Outlook calendars for designated Directors

  • Set-up and maintain filing system including supporting documents.

  • Screen incoming calls, correspondence and emails and respond independently as required

  • Prepare confidential correspondence, reports and other documents as requested

  • Compose letters, memos, A/P requests and other agency and department forms and documents.

  • Data entry

  • Maintain/order office supplies and process Purchasing/IT/Maintenance orders.

  • Manage all stakeholder contacts, relationships and data

  • Maintain universal, master forms, files and copies for administrative and satellite offices on the Intranet.

  • Prepare and Assist with Agency Medical Consents

Qualifications

  • High School diploma/GED. 
  • Secondary education (or certification) preferred
  • Three year’s experience working web based data applications
  • Five year's related office management of administrative support experience.
  • Experience with non-profit and/or people with ID/D preferred
  • Clear criminal record and child abuse check in accordance with state requirements
  • Valid driver’s license and access to personal vehicle for travel between programs.
